JOB TITLE:  Deputy Clerk I, Elections Office                                                                        

DEPARTMENT:  County Clerk and Recorder, Elections Office

POSITION: Part-Time up to Full-Time, Non-Exempt

SALARY: $17.55 to $18.44 DOE

BENEFITS: Wyoming Retirement Pension Program

JOB SUMMARY:  This position is primarily part-time 20 hours per week but, these hours may increase up to full-time during an election cycle.  This position performs a variety of administrative and clerical duties as needed, coordinates election activities, maintain voter registration records, assist with candidates and assigning Election Workers. Work requires data entry, typing, filing, and record keeping.  Employee must have good customer service skills, assist the public in a professional and courteous manner. This position will require some overtime to include evenings, weekends, and holidays.

 

MAJOR DUTIES:

  • Register voters and process voter registration applications.
  • Assisting in computing voter record information in the voter registration database after each election and scanning documents.
  • Maintain voter database and update voter records.
  • Type and issue absentee ballot applications in person or by mail, process absentee ballots and all the paperwork, records associated with issuing absentee ballot, and balancing absentee reports.
  • Recruiting Election workers, preparing Election workers packets, preparing vouchers and payroll.
  • Assisting in training Election workers.
  • Prepare supply boxes for precincts for election day and inventory of supply boxes when returned.
  • Must be able to work overtime before and during the elections.
  • Assist with all duties required to carry out an election, as directed.
  • Perform general administrative duties such as answer telephone, transfer calls, take messages, direct the public, make copies, operate a fax, and respond to emails and surveys.
  • Travels to precincts to aid as needed.
  • The omission of specific statements of the duties does not exclude them as other duties may be required and assigned.

KNOWLEDGE REQUIRED BY THE POSITION:

  • Knowledge of modern office practices and procedures.
  • Knowledge of the principles and practices of records management.
  • Knowledge of computers and job-related software (Microsoft Office Suite, Excel) programs.
  • Knowledge of modern filing systems.
  • Skill in operating such office equipment as a calculator, copier, and facsimile machine.
  • Skill in performing basic mathematical calculations.
  • Skill in meeting deadlines.
  • Skill in report preparation and records maintenance.
  • Skill in public and interpersonal relations.
  • Skill in oral and written communication.

 

MINIMUM QUALIFICATIONS:

  • Must be a registered voter in Sheridan County, Wyoming
  • Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
