The Sheridan County Clerk and Recorder is looking for a highly motivated customer service oriented individual to join their team. This individual will be part of a highly cohesive team of individuals who work together to bring about positive outcomes for our customers.

 Open Position:  Deputy Clerk, Full-Time, Non - exempt

Salary:  $36,500.00 to $38,347.81 annually, DOE

Position Summary:   This position performs a variety of administrative and clerical duties to expedite the efficient and effective delivery of public services in support of the County Clerk and Recorder.   Performs clerical functions specific to motor vehicle titling, record retention, public records, document filing and recording, marriage licensing, and elections.

MAJOR DUTIES:

  • Motor Vehicles
    • Receives, reviews, and processes title applications, financial statements, and collects appropriate fees.
    • Performs title transactions; obtains information from available manuals and resources; performs and executes lien filings and processes documents.
  • Land and Document Recording
    • Processes requests from the public related to the recording of documents and the execution of conveyances; verifies statutory information; assigns type of document, recording and indexing codes and numbers; indexes grantors, grantees, and legal descriptions; updates permanent database and indexes as appropriate.
    • Follows established procedures related to liens and releases; works primarily with the public and title companies to identify the status of properties; prepares and issues certified copies of recorded documents.
    • Participates in document archiving; organizes, scans, proofs, disposes of, and stores documents according to established guidelines; oversees schedules for records and documents.
    • Assists customers and provides information related to the record system.
  • Balances cash drawer daily; performs review of revenue and balancing functions; monitors and conducts balancing processes to verify accuracy of deposits amounts; ensures daily balancing of collections and deposits for all cash drawers.
  • Assists with the marriage application and licensing.
  • Assists with the election process.
  • Performs other statutory duties as assigned.

 

KNOWLEDGE REQUIRED FOR THE POSITION:

  • Knowledge of modern office practices and procedures.
  • Knowledge of records management.
  • Knowledge of computers and job-related software systems.
  • Skill in operating modern office equipment and running credit cards.
  • Skill in performing basic mathematical calculations.
  • Skill in meeting assigned deadlines.
  • Skill in report preparation and records maintenance.
  • Skill in public and interpersonal relations.
  • Skill in oral and written communication.
  • Skill in multitasking.

MINIMUM QUALIFICATIONS:

  •  Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
  • Ability to be bonded.
  • Ability to readily obtain Notary Public certification.
  • Must meet all statutory requirements to be a qualified elector (registered voter) and be willing to be a registered elector (registered voter).
