Position Type: Full-Time (Minimum 35 hours per week, Tuesday–Saturday 9:00 AM–5:30 PM)

The Volunteer Coordinator is the first point of contact for all CHAPS volunteers and plays a vital role in ensuring our programs and events are well supported. This position works closely with the Barn Manager, Instructors, and Executive Director to provide training, scheduling, communication, and recognition for volunteers. The Coordinator also assists with organizational events and recordkeeping to strengthen engagement and retention.Key Responsibilities
Volunteer Management & Training- Schedule and train volunteers for facility needs, lessons, and special events
- Ensure coverage by finding replacements or stepping in if a volunteer cancels
- Provide training resources and videos for volunteer re-certification each year
- Update and maintain the volunteer schedule, communicating changes to staff
- Track volunteer hours daily, weekly, and monthly
- Maintain the volunteer database (Wranglr) with accurate, up-to-date information
- Serve as the primary point of contact for volunteers, supporting engagement and retention
- Coordinate with staff to select and recognize Volunteers of the Month
- Help organize the annual Volunteer Appreciation Party in November
- Assist with planning and execution of CHAPS events, including the Joust fundraiser (setup, day-of, and teardown)
- Attend fundraising meetings as needed to provide volunteer-related information
- Represent CHAPS at community events when appropriate
- Send applications to new and returning volunteers each year
- Record and track activities such as lessons and special events on a weekly basis
- Attend staff meetings and collaborate with the Barn Manager, Instructors, and Executive Director
- Support other duties as requested to meet organizational needs
Requirements
- Availability Tuesday–Saturday, 9:00 AM–5:30 PM
- Ability to communicate effectively with a variety of people, including volunteers, participants, and staff
- Knowledge of PATH & CHA Standards, CHAPS policies, and standard operating procedures (or willingness to learn)
- Patient, positive, and professional outlook
Qualifications
- Strong verbal, written, and interpersonal communication skills
- Intermediate to advanced computer proficiency
- Basic office management skills
- Excellent organizational and time management abilities
- Self-motivated with the ability to work independently and as part of a team
Preferred Qualifications
- Prior experience in volunteer management, human resources, or nonprofit work
- Flexibility and adaptability—ability to respond effectively to changing needs and priorities
- Comfort working around horses (no riding required)
