Administrative Assistant
Whitney Benefits is seeking a highly organized, motivated, and detail-oriented Administrative Assistant to join our team. Reporting directly to the Executive Director, this full-time position supports the daily operations of the Whitney Benefits organization. This role offers a unique opportunity to be part of a historic nonprofit organization committed to education, community, and public good. The Administrative Assistant plays a critical role in maintaining the efficient functioning of our office and upholding the high standard of service and stewardship Whitney Benefits is known for. The ideal candidate will have a strong background in customer service, office administration, and exceptional written communication skills. This role is essential for ensuring smooth daily operations and providing excellent support to the board, staff, and public constituents.
Key Responsibilities:
Manage front desk operations, including greeting visitors and handling inquiries.
Manage external facing communications with website and social media.
Utilize QuickBooks for basic accounting tasks and financial record keeping.
Coordinate projects and committee meetings by assisting with scheduling, documentation, and follow-ups.
Provide exceptional customer service by addressing client needs and concerns promptly.
Maintain organized records using Google Workspace tools for efficient information retrieval.
Support office management functions to create a productive work environment.
Qualifications:
Associates degree required; Bachelor’s degree in related field preferred.
Three years or more of related experience required.
Knowledge and involvement in the local community including the nonprofit and educational landscape (preferred).
Proficiency in clerical tasks with experience in front desk operations preferred. Proficiency with Microsoft Office Suite.
Familiarity with QuickBooks and Google Workspace is highly desirable.
Strong computer literacy with the ability to learn new software quickly.
Excellent organizational skills with attention to detail.
Strong work ethic, excellent professional judgement and attention to quality.
Outstanding customer service skills with a friendly demeanor.
Compensation: Starting pay range $22.97 - $28.71. Generous benefits package includes health/dental/vision insurance, 403(b) retirement plan, life & long-term disability insurance, paid holidays, sick time and vacation, annual professional development.
